The role would involve looking after the general administration required in a small but busy sales and marketing office of 3 persons. It would be a part time role and require the successful candidate to be prepared to take sole responsibility for the smooth running of the office to enable the sales staff to work unhindered.
The role would include, amongst other general tasks, the following:-
1) Answering of all incoming phone calls
2) Typing of all outgoing quotations
3) Typing of all outgoing proforma invoices.
4) Inputting of data and management of sales analysis system
5) Collating of reports for Weekly sales meeting
6) Literature despatch to customer’s or prospective clients
7) Administrating sales lead system
8) Responsibility of company general e-mail account
9) Filing of paperwork & faxing of purchase orders to suppliers
10) Provision of hot/cold drinks to sales persons during morning (10:20-10:30) & afternoon (14:20-14:30) tea breaks
11) Sorting of incoming post
12) Liaising with Accounts department to ensure smooth flow of paperwork internally
13) Matching of invoices to purchase orders
14) Processing credit card payments
15) Inputting and maintenance of sales graph
16) Basic customer service
17) Restocking of stationery items
18) Keeping work area/office clear
19) Telesales (1 hour a day)
20) Managing and setting up database
