Our prestigious client based in Luton are seeking an experience Executive Assistant to join their team on a 3 month contract.
You will be required to provide administrative support the CEO and executive team, ensuring matters are carried out in a confidential, sensitive and efficient manner, enabling them to achieve their business objectives.
Duties and Responsibilities:
• Act as a first point of contact for those approaching the CEO's office, responding and redirecting incoming enquiries as appropriate
• Provide secretarial support involved in ensuring the smooth running of the Chief Executive's office
• Attending meetings with and on behalf of the CEO, as and when required, taking and circulating minutes and following up on action points and ensuring the CEO is well prepared
• Responsible for proactively organising and maintaining diaries, which will include making appointments, setting up meetings, and making necessary travel arrangements
• Deal with incoming emails, faxes, post and general enquiries and requests along with screening telephone calls, and welcoming visitors.
• Undertake a broad range of desk research and projects as required, preparing presentations for internal/external events, speaker events etc
• Production of accurate and timely correspondence, reports and presentations on behalf of the Director and administration of projects as necessary.
• Manage the Operations Director’s emails – prioritising and responding to emails on his behalf
• Investigate issues and requests - gather information and produce draft responses
• Manage the budget administration for the Chief Executive
To be considered for this role you will need to demonstrate:
* Significant experience supporting CEO and/or other Senior Executive of a major company.
* Minute taking experience ideally short hand.
* Will have experience of diary management, travel booking and coordination of internal and external events.
* Ability to research, analyse and interpret general business periodicals, professional journals, annual reports etc.
